The Signal Engine is a customer feedback platform operated by Top Rock Media ("we", "us"). Businesses use it to collect short surveys from their guests and customers. This policy explains what we collect when you take a survey and what we do with it.
Who controls your information
When you scan a QR code and take a survey, you are giving feedback to the business that invited you. That business decides what to ask and how to follow up. Top Rock Media operates the software and stores the responses on their behalf.
What we collect
- Your survey answers. The ratings you tap and any comment you choose to write.
- Contact details you volunteer. If a score is low we may offer you the chance to leave a phone number or email so the business can make it right. This is always optional.
- Reward information. The prize drawn on the scratch-off and the single-use redemption code issued with it.
- Basic technical signals. A non-identifying device fingerprint and timing information, used only to stop the same device from flooding a survey with fake entries.
We do not ask for your name, address, date of birth, payment details, or government identifiers, and we do not buy or import personal data about you from other sources.
What we do with it
- Show the business aggregate scores and trends for its locations.
- Alert the business when a score is low so a manager can reach out and resolve the issue.
- Issue and validate your scratch-off reward.
- Report anonymous, aggregate impression and click counts to sponsors.
- Detect and block automated or duplicate submissions.
We do not sell your information. Sponsors see counts and rates, never individual responses or contact details.
Google reviews
After a positive survey we may invite you to leave a public review on Google. That is entirely your choice, it happens on Google's own site, and anything you write there is governed by Google's terms and privacy policy, not ours.
Who can see your responses
Access is limited to staff of the business you gave feedback to, and to Top Rock Media personnel who operate and support the platform. We also rely on service providers for hosting, database storage, and email delivery; they process data only to provide those services to us. We may disclose information if the law requires it.
How long we keep it
Survey responses are retained for as long as the business maintains an active account with us, so it can track trends over time. Contact details submitted through a low-score follow-up are kept only as long as needed to resolve the issue, and are removed on request.
Your choices
Taking a survey is voluntary and you can stop at any time by closing the page. Leaving a comment or a contact detail is optional. You can ask us to provide a copy of, correct, or delete the information tied to your response by contacting us with the approximate date and location of your survey.
Children
The Signal Engine is intended for adults and is not directed at children under 13. We do not knowingly collect information from them. If you believe a child has submitted personal information, contact us and we will remove it.
Security
Responses are stored in an access-controlled database with role-based permissions, so each business can reach only its own data. No system is perfectly secure, but we work to protect the information we hold and to limit who can reach it.
Changes to this policy
We may update this policy as the platform grows. The revision date at the top of this page always reflects the current version.
